What we collect
We collect the information we need to provide safe clinical care: your contact details, date of birth, funding details (Medicare, NDIS plan, insurer claim numbers), what you tell us at intake, and your clinical records. Nothing else.
How we use it
Your information is used to deliver your care, coordinate between the clinicians on your team, process your funding claims, and meet our legal record-keeping obligations under Australian health records law. We do not sell it, rent it, or use it for advertising.
Who can see it
The clinicians directly involved in your care, and administrative staff for booking and billing only. Nothing clinical is shared outside Circlewell — with your GP, school, insurer, or anyone else — without your written consent, except where the law requires it (for example, an immediate risk of serious harm, or a court order).
How long we keep it
Health records law requires us to keep clinical records for at least 7 years after your last appointment, or for a child, until they turn 25. [LEGAL REVIEW — confirm NSW retention rules per discipline.]
Your rights
You can ask to see your records, request corrections, and ask us how your information has been used. Email privacy@circlewell.com.au [VERIFY mailbox]. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
